The Associate Vice President, Ambulatory Operations (Shared Services) is responsible for the efficient operations of shared services among WVU Medicine SMG, WVUH/UHA, and UHA East ambulatory services. Ambulatory services include all free-standing clinics and hospital-based clinics for large multi-specialty groups.

This position provides executive leadership and direction to ambulatory services with an emphasis on business development, clinical integration, and oversight of financial and operational functions.

1. Develops and fosters effective collaboration between clinical departments and divisions to ensure an integrated approach to providing services and fulfilling the organization’s clinical goals and objectives.

2. Responsible for a comprehensive patient safety and clinical quality performance improvement plan for Ambulatory Services by implementing initiatives and measuring outcome, in collaboration with other institution leaders.

3. Works collaboratively with the leadership of WVUH/UHA, SMG, and UHA East, to develop and implement new initiatives.

4. Responsible for full development of personnel including recruiting and career advancement.

5. Implements and maintains benchmarks for ambulatory operation strategic initiatives, in conjunction with the budget financial review of strategic initiatives.

6. Acts as a liaison for WVU Medicine SMG, VUH/UHA, and UHA East clinics to Marketing, Legal, Human Resources, Regional Administrators, and Finance. Through the Ambulatory Shared Services structure, provides management oversight for the development of high-quality, patient-centered, cost-effective, and integrated clinical programs and services.

7. Assists in the development and strategy of ambulatory services and clinics. Collaborates closely with Administrators, Chairman, Regional Administrators, and Vice Presidents to achieve outcomes.

8. Reviews and develops future patient experience initiatives and clinical needs to serve the community and WVU Medicine.

9. Oversight of analytics such as census, the KPIs within the Ambulatory Departmental Dashboard and that data is accurate and concise

10. Selects, hires, terminates, manages, and evaluates the effectiveness of employees on a continuous basis to optimize productivity.

11. Establishes goals and provides follow-up within established Human Resources policies. Ensures compliance with policies and ensures staff meets the established access and service standards.

12. Oversight of policy and procedure reviews and revisions to Ambulatory Operations systems and processes

13. Oversight of regulations and standards issued by governmental/regulatory agencies and third-party payers; implements organizational changes, as required, ensuring organizational compliance.

14. Reviews key performance indicators (quality, financial outcomes, productivity, etc.) to maximize Ambulatory sites of service contribution to WVUHS.

15. Actively participates in the development and attainment of organizational goals and objectives as they relate to the organizational strategic mission and initiatives.

16. Oversight of analytics such as census reports, and the Ambulatory Departmental Dashboard (ADD) to review key performance metrics

17. Oversight of the Ambulatory Services Contact Center, ensuring staff adheres to the highest standard of customer service provided to our patients, providers, and referring providers. Provides support to WVU Medicine and to other system hospitals with provider-to-provider communication referrals

18. Oversight of the Ambulatory Services Scribe program. Provides support to WVU Medicine and to the other system hospitals

19. Responsible for overall operations of ambulatory shared services, to include provider recruitment, telemedicine initiatives, acquisitions, quality, and the overall patient experience. Collaborates closely with Administrators, Chairman, Regional Administrators, and Vice Presidents to achieve outcomes.

20. Provides leadership and assumes responsibility for multi-site system patient experience initiatives. Drive and foster a culture of patient-centered care, quality, and service excellence, while improving patient experience across the enterprise.

MINIMUM QUALIFICATIONS :

EDUCATION, CERTIFICATION, AND/OR LICENSURE:

1. Bachelor’s Degree in healthcare or business administration.

EXPERIENCE:

1. Ten (10) years of experience in progressive management and results-oriented experience in a multi-specialty group practice.

PREFERRED QUALIFICATIONS :

EDUCATION, CERTIFICATION, AND/OR LICENSURE:

1. Master’s Degree in healthcare or business administration. Master’s degree preferred

SKILLS & ABILITIES:

1. Financial, technical, and professional skills.

2. Oral and written communication skills to effectively represent the Ambulatory sites of service and Hospital in interactions with third party payers, patients, physicians and other departments.

3. Analytical and problem-solving skills as well as the ability to work and communicate effectively with other departments.

4. Working knowledge of local, State and Federal regulations pertaining to Professional billing and collections. In addition, Provider Based Billing that affect Professional and Hospital billing

5. Skills in the areas of finance, business planning, strategic planning, marketing, program development, and human resources.

6. Demonstrated ability to work with clinical leadership across the service lines, hospital administration, physicians and community providers through the region.

7. Experienced in team building, mentoring and business planning with excellent communication, emotional intelligence and negotiating and facilitating skills.

8. Demonstrated strong engagement and focused commitment to quality of care and service excellence.

9. Proven ability to be creative, innovative, and decisive. Adept in conflict resolution. Ability to work effectively with multiple departments and disciplines.
