College and Department Administrative and Fiscal Operations

  • Day to day management of administrative and fiscal operations for the college and departments to include oversight of College Effort, Space, Asset Management, Disbursements, P-Card, and Grants teams. Ensuring departments are entering consistent and accurate information while meeting college and university deadlines.
  • Participate in planning and execution of the college strategic plan.
  • Evaluate, develop, and implement process improvement initiatives to streamline administrative and fiscal operations utilizing key metrics for progress and success. Ideally, this process reduces un-need administrative burden on college stakeholders.
  • Meet with college stakeholders on a regular basis to exchange feedback and provide updates.
  • Participation in the development of administrative and fiscal policies for the college.
  • Management and reconciliation of faculty salary savings and startup accounts.
  • Serve as Department Security Administrator (DSA)

Oversight of Shared Service Center Teams

  • Oversight of College shared service center staff from Disbursements Team, Purchase Card Team, and Research Administration Team. Research Administration team also has a shared reporting structure to the Associate Dean of Research.
  • Meet with direct reports on a regular basis to provide support, feedback, and guidance.
  • Work with shared service center teams to develop and maintain standardized onboarding, training, and workflows.
  • Ensure shared service center teams are providing a high-level of customer service through regular communication, consistent workflows, and timely responses. A service level expectation should be established with stakeholders to determine performance benchmarks.
  • Work on process improvement to ensure shared service center teams are efficient and provide an optimal experience for end-users.

Budgets, Compliance, and Reporting

  • Work with the College Executive Director to prepare and manage the College and Department Budgets.
  • Work with the reporting and reconciliation team to ensure college, department, and faculty reports are accurate and updated regularly.

Minimum Requirements

Master’s degree in an appropriate area and two years of relevant experience; or a bachelor’s degree in an appropriate area and four years of relevant experience.
