We are seeking a highly organized and dynamic Shared Services Manager to oversee and optimize our shared service functions within PumpMan Holdings LLC. The Shared Services Manager will play a pivotal role in streamlining processes, enhancing efficiency, and driving continuous improvement across multiple departments.
Shared Services Management
- accounts payable, purchasing, and accounts receivable functions, ensuring timely and accurate processing of purchase orders, invoices, payments, and collections.
- aging reports and follow up on overdue accounts receivable to minimize bad debt exposure.
- customer relationship to support collections efforts and maintain positive business relationships, coordinate with service centers management to troubleshoot customer issues as needed.
- vendor relationships and negotiate favorable payment terms.
- weekly and monthly reporting requirements to controller and senior management, as needed.
- the training and development of Shared Services Staff, working with the controller and senior management to improve training program
Accounting Management
- with aspects of the accounting function including accounts payable, accounts receivable, general ledger, and financial reporting.
- compliance with accounting principles, standards, and regulations.
- and assist month-end and year-end closing processes to ensure timely and accurate financial reporting.
- and maintain internal controls to safeguard company assets and mitigate risks.
General Ledger Management
- the general ledger accounting activities, which may include journal entries, account reconciliations, and month-end close processes.
- accuracy and completeness of financial data recorded in the general ledger.
Technology Integration
- and implement technology solutions to automate manual processes and enhance the effectiveness of shared service functions.
- with IT and other stakeholders to integrate systems and tools for seamless operation.
- acquisition onboarding process by ensuring proper competencies and processes are developed to integrate new companies.
Internal Controls and Compliance
- and maintain internal control policies and procedures to safeguard company assets and ensure compliance with regulatory requirements.
- with internal and external auditors for periodic audits and ensure timely resolution of audit findings.
- updated on changes in accounting standards and regulations, implementing necessary changes to ensure compliance.
Continuous Improvement
- and assist with continuous improvement initiatives to enhance service quality, reduce costs, and increase customer satisfaction.
- feedback and ideas from team members to drive innovation and process enhancements.
- degree in Business Administration, Finance, or a related field. Master’s degree preferred.
- experience (3 years) in a similar role, preferably within a service-oriented industry.
- accounting skills and comfort with internal control framework
- leadership skills with the ability to inspire and motivate cross-functional teams.
- level of comfort with advanced Excel functions and formulas
- analytical and problem-solving abilities.
- in project management methodologies and tools.
- with ERP systems and other relevant technology platforms. Current Systems are Infor CloudSuite Syteline and QuickBooks Online/Desktop
- communication and interpersonal skills.
