The Office of the Provost (OtP) upholds, provides leadership on, and carries out the academic mission of the University. In service to this mission, OtP promotes and sustains the highest standards in teaching, research, and service; fosters and advocates for faculty; promotes a respectful work environment, equity and inclusion, and a family-friendly workplace; supports and coordinates matters that pertain to faculty and academics, including hiring, retention, promotion, and tenure processes; and advances university outreach to the community, academic extension, and internationalization.

Within the Office of the Provost, the Provost’s Administrative Services Team (PAST) will provide business and administrative services within the Office of the Provost portfolio. PAST provides high-quality service to a diversity of units in the Office of the Provost, in the areas of: human resources, budget and finance, payroll, purchasing, contracting, travel, accounts payable/receivable, and grants management. PAST will ultimately provide administrative services for several organizations within the OtP portfolio including, for example: Division of Global Engagement; Division of Graduate Studies; Environment Initiative; Jordan Schnitzer Museum of Art; Museum of Natural and Cultural History; Office of the Provost; Sport and Wellness Initiative; Undergraduate Education and Student Success; and University Libraries.

The units supported by PAST constitute a large business enterprise consisting of more than 1,500 employees and total operating expenditures of more than $73.5 million. PAST itself is projected to have an estimated 12-15 FTE.

The Director of the Provost Administrative Service’s Team (PAST) is responsible for continuing the implementation of a new shared services unit for the Office of the Provost. Upon implementation of this new unit, this position will direct and oversee the operations of the PAST which include business operations, human resources, and grant management. This position has broad and general oversight over the application of PAST shared services processes, policies, and practices. It is responsible for clear and timely communication with the units it serves as well as OtP leadership about shared services rollout, related to policy and practices and all other matters related to the provision of shared business services. This position is responsible for managing relationships with customers and other service units across campus and ensuring that services commitments between PAST and participant units are met. This position collaborates with supervisors and HR practices to evaluate processes and procedures necessary for high-quality service.

The director of PAST reports to the Chief of Staff to the Provost and Associate Vice President of Academic Administration

Minimum Requirements

  • Seven years’ professional experience or a bachelor’s degree and five years of professional experience. Professional experience should include a combination of fiscal operations management, human resources management, and project and change management.
  • Three years’ supervisory experience, including performance management.
  • Experience working in a complex organization across functions, teams, cultures, and levels with progressive responsibility.

Preferred Qualifications

  • Experience with shared services models in higher education or a similarly complex organization.
  • Experience with managing grants, gift/foundation funds, and complex procurements.
  • Experience with Cognos, Hyperion, or similar business intelligence software.
  • Experience with complex campus management systems. Examples: Workday, Banner, PeopleSoft, PageUp, Kronos, ADP, etc.
  • Strong Microsoft suite skills; Excel, Word, PowerPoint, Teams, OneDrive, and Outlook.
