Reporting to the CEO, the full-time Director of Operations plays a vital role in supporting DANA’s mission by managing internal operations, shared services, and vendor relations. This position ensures the effective tracking and reporting of program outcomes and financial sustainability, while also prioritizing an excellent customer, team, and partner experience within the Alliance. As a member of the Senior Leadership team, this position will play an influential role in the organization’s impact. The position can work out of DANA’s Wilmington or Georgetown office. DANA operates with a hybrid remote schedule.
Financial Leadership:
- Oversee the finance and related administrative functions of the organization, including oversight of contracted accounting firm, audits, budget management, invoicing, and accounts receivable.
- Prepare monthly and quarterly financial reports and provide staff support to the Board Treasurer, Audit Committee, and Finance Committee.
- Ensure compliance with grant and contract requirements by tracking expenditures, allocations, and proper documentation.
- Serve as the staff liaison for the annual audit, 990 preparation, and annual report.
- Facilitate the preparation of annual and strategic financial plans, forecasts, operational and staffing budgets.
- Oversee the invoicing, collections, and reconciliation for capacity building programs & Accelerator.
- Conduct financial feasibility assessments for new program offerings, evaluating fee options and cost considerations; and prepare program budgets for grants.
- Track DANA office equipment and furniture assets and oversee their acquisition and disposal as necessary.
- Manage contracts with insurance providers and contracted service firms, optimizing services in an effective and efficient manner.
- Oversee tracking and reporting on staff time/DANA resources used for Nonprofit Action Network activities.
Compliance and Documentation:
- Ensure compliance with all relevant laws, regulations, and organizational policies, including those related to grants, contracts, HR documents, and record retention.
- Lead the development and implementation of compliance procedures, training, and best practices.
- Manage contracts, agreements, and vendor relationships, ensuring proper documentation and adherence to legal and regulatory requirements.
- Coordinate the timely and accurate filing of required organizational documents, including 990 forms and other regulatory reports.
- Ensure compliance with DANA’s document retention policy and file sharing protocols for proper storage of organizational records.
- Lead accreditation renewal process and ensure policies are reviewed and updated every three years.
Mission Impact Evaluation
- · In partnership with program leadership, serve as the internal data keeper of DANA’s membership, program, and organizational outcome metrics. Develop reports to provide to the DANA board and to inform grant proposals or grant reports.
- · Manage contractual relationships with outside evaluators of DANA programs.
Team Culture & Work Environment:
- Coordinate DANA annual benefit renewals; working with partners to identify options.
- Supervise new employee onboarding; confirming training, paperwork, DISC assessment, and personnel record keeping are completed on a timely basis.
- In partnership with the Senior Leadership Team, coordinate the annual professional development reviews for staff; ensuring they are completed on a timely basis and filed for personnel record keeping.
- Act as the internal technology and software “go to” for DANA team members, ensuring proficiency with DANA software and compliance with policies around use.
Program Support
- Provide support to DANA’s Nonprofit Accelerator by managing contracted service firms and setting up software user accounts for participating organizations.
- Contribute to DANA’s Nonprofit Accelerator by supporting cohort technical assistance needs in the area of systems, finance, and workplace culture.
- Lead the start up and ongoing management of DANA’s Association Health Plan as it relates to partner relationships, contracts, and member support.

- Minimum five years of business management or operations experience, preferably within a Delaware nonprofit.
- A track record in expanding organizational capacity and scaling organizations; with experience in enhancing systems for internal communication and cross-departmental teamwork.
- Minimum bachelor’s degree in a business/operations-related discipline or equivalent experience.
- Knowledgeable about nonprofit accounting and financial management, with experience in tracking and reporting on the use of restricted funds.
- Exceptional database and analytical skills, including budget development, cash flow projections, and financial scenarios.
- High proficiency in Quickbooks, EXCEL, Microsoft Office 365, Monday.com, CRM systems, and Slack or similar software platforms.
- Familiarity with and a commitment to continued learning and development in Diversity, Equity, and Inclusion (DEI) issues and topics.
- Ability to travel across the state (approximately 10%)
