The Director of Operations will work closely with the President to oversee the day-to-day activities of the organization, ensuring that the organization is managed and performing efficiently and effectively. The Director of Operations, under direction of the President is responsible for the effective planning, directing and execution of functions under campus operations, facilities, administration, human resources, technology, finance and general business operations.
- Oversee the overall maintenance and campus operations.
- Oversee all organizational contract and vendor management to include the bid process for all services, repairs, renovations, special building projects, technology equipment, software, etc. according to MACC’s policies.
- Supervises hands-on work including, but not limited to, custodial, painting, light plumbing and electrical, changing air filters, moving office furniture and equipment, facilities and event, scheduling and grounds maintenance.
- Meet and exceed organizational goals through optimal utilization of personnel and resources.
- Monitors and oversees the work of external contractors to ensure terms of agreements are met and work is completed satisfactorily.
- Ensures that campus buildings and grounds are safe, clean, attractive, accessible, functional, and environmentally responsible.
- Ensures properties are compliant with federal, state, and local codes and regulations.
- Directs annual schedule of maintenance and custodial work to meet the needs of the campus throughout the academic year and during summer and semester breaks.
- Oversee the safety and security of the campus and of network infrastructure.
- Serves as a liaison between the Archdiocesan Information Technology Office and MACC while addressing any needs and implementation.
- Works closely with Archdiocesan Human Resources Office in addressing HR issues and needs.
- Review financial reports and reconciliations monthly in collaboration with Finance Director.
- Provide oversight and support of the finance office, housing and hospitality, the bookstore, and the library services.
- Works closely with the Hospitality and Bookstore Coordinator to ensure that groups are properly booked and have their needs met during their stay.
- Works collaboratively with leadership team and serves on committees as requested by the president.
- Makes complex administrative decisions or recommendations requiring a thorough knowledge of MACC regulations, policies and procedures.
- Identify and address any operational inefficiencies in procedures and processes and offer meaningful solutions; develop written protocols and operational procedures as needed.
- Oversee and manage projects and events in assigned areas.
- Monitor team productivity and (in collaboration with the President) provide performance evaluations, constructive feedback, mentorship, and disciplinary action when necessary.
- Set performance goals and deadlines in alignment with organization’s vision, monitor budget, and report variances to senior managers.
- In collaboration with Finance Director and program managers, develops annual budget for review by the President and eventual submission to Board.
- Motivate employees by resolving issues and making sound decisions.
- Monitors staff hours, reviews and approves timesheets in a timely manner.
- In collaboration with the President recruits, interviews, hires, oversees onboarding, and trains office staff within assigned office.
- In collaboration and consultation with the President, establish and implement strategic short- and long-term organizational goals, plans, objectives, policies, and operating procedures.
- Adhering to safety training and protocols on a daily basis and taking precautionary measure to ensure the safety and well-being of self, others.
- Responsible for protecting the confidentiality of any information or material obtained in the service with the organization to include but not limited to client names and information, services rendered to clients, donors names and gifts, internal and external investigations or results of any investigations, and financial information.
- Adherence to the Code of Conduct and the Faith and Moral Policy is mandatory.

Education
- Bachelor’s degree in Business Administration, Operations, Non-Profit Management, Accounting, Finance, or other related discipline.
- Masters in Business Administration or related field preferred.
Experience
- Minimum of seven (7) years’ experience in Operations Management directing and managing administrative functions.
- Minimum of three (3) years’ in a supervisory role
- Minimum of five (5) years’ experience in accounting.
License and Credentials
- Reliable transportation
- Valid driver license
- Valid vehicle insurance
Minimum Knowledge and Skills:
- Bilingual in English and Spanish preferred.
- Experience in relationship management with contractors, vendors, etc.;
- A solid grasp of project and contract management principles and practices;
- A solid grasp of preventative maintenance principles and practices;
- Ability to effectively identify and resolve problems in a timely manner; ability to pivot to shifting priorities at a moments notice and make sound decisions;
- Ability to consistently develop, interpret, and apply MACC policies, procedures, rules, and regulations;
- Ability to inspire a shared vision and empower and motivate a team;
- Solid understanding of and ability to adhere to General Accepted Accounting Principles (GAAP) preferred;
- Experience with computer software and Microsoft Office Suite;
- Thorough understanding of operations policies and practices;
- Excellent management and supervisory skills;
- Excellent analytical, decision-making, and problem-solving skills.
- Ability to maintain a high level of confidentiality;
- Must be detail oriented, organized, self-motivated, work well independently and on a team;
- Must have good written and verbal skills;
- Must have good critical thinking and problem solving skills.
