The Director of Shared Services is entrusted with orchestrating synergies between the IT and facilities departments across our Waltham and Milwaukee locales. This role is instrumental in blueprinting and steering office buildouts, helming project management endeavors, fortifying security architecture, and acting as the nexus with business units to address and fulfill ad-hoc imperatives.
- Collaborate with Heads of IT & Facilities to form the strategic vision for shared services, ensuring alignment with Ardelyx’s goals and optimal resource utilization.
- Act as boots-on-the-ground support for the buildout of new offices and/or expansion of existing ones, bringing your expertise to the table: highlighting potential risks, proposing solutions and driving execution.
- Play PM role and drive IT and facilities projects, ensuring meticulous synchronization of timelines, human capital, and fiscal allocations.
- Craft, execute, and monitor state-of-the-art security mechanisms encompassing both IT frameworks and facility perimeters form physical security to supporting cybersecurity initiatives.
- Serve as conduit between IT, Facilities, and Business entities, ensuring fluid and responsive interactions.
- Issue Resolution: Steer top-tier troubleshooting for intricate IT and facilities issues. Collaborate with teams to identify and drive solutions.
- Cultivate robust alliances with external collaborators, finetune contracts, and steward service-level compacts to foster uninterrupted operations.
- Documentation & Compliance: Uphold immaculate and current documentation for every venture, infrastructure blueprint, security regimen, and procedural code, ensuring that policies and procedures are in place to provide reasonable assurance that the company assets are protected.
- Develops and executes the shared services strategy, aligning it with the organization’s overall goals and objectives.
- Work with building management to address initiatives or issues related to HVAC, electrical, utilities or other shared services.
- Leads and manages the shared services function, including accounting, procurement, fleet, and other relevant areas.
- Drives operational excellence by optimizing processes, standardizing workflows, and implementing best practices across shared services functions.
- Develops and monitors key performance indicators (KPIs) and service level agreements (SLAs) daily to measure the performance and effectiveness of shared services.
- Identifies opportunities for process automation and the implementation of shared services technologies to drive efficiency and enhance service delivery.
- Works with the shared services staff, IT/MIS, and other functional groups to identify, recommend and implement streamlined and automated processes and system improvements.
- Supports SOX controls related to processes performed through shared services, and assists branches, as needed, with branch-related controls.
- Support Execution of Enterprise risk management initiatives
- Ensure Assets Are properly tracked including the management of capital asset inventory.
- All other duties as assigned.
- Degree in IT, Business, Facilities Management, or a cognate discipline.
- At least 7 years of leadership experience in IT and/or facilities services, with a bias towards the biotech or allied industry.
- Demonstrable acumen in strategic planning and executive decision-making.
- Robust comprehension of IT infrastructure paradigms and avant-garde security schemas.
- Exceptional oratory and written communication prowess.
- Innate ability to galvanize teams and foster collaboration.
- Experience with advanced project management software and tools.
- Adeptness to traverse between Waltham and Milwaukee offices periodically.
