The Director of Shared Services is a pivotal role within the Property Operations team, reporting directly to the Senior Director of Operations. This position is responsible for designing and implementing comprehensive policies, systems, procedures, and processes across various functional areas to ensure the smooth and efficient operation of Aeon’s property portfolio. Key areas of focus include insurance/risk, inspections, procurement/purchasing, and marketing.
- Identifying opportunities to streamline operations, develop best practices, reduce costs, and improve efficiency across departments such as preventative maintenance, leasing, insurance administration, and procurement.
- Implementing and optimizing technology solutions for property management, such as software for site-level accounting, resident portals, and maintenance tracking systems.
- Developing and managing budgets for shared services departments, analyzing financial data, and providing insights to support decision-making.
- Ensuring compliance with relevant regulations and company policies, as well as managing risks related to property management operations.
- Fostering a culture of exceptional customer service among shared services teams to support tenant satisfaction and retention.
- Facilitating communication and collaboration between shared services departments and other areas of the organization to achieve common goals and objectives.
- Develop strong partnerships with asset management, operations, maintenance, capital improvement, development, and other internal and external partners to maximize the effectiveness and efficiency of operations.
- Overseeing relationships with vendors and service providers to ensure quality and cost-effective services for the properties managed by the company.
- Identify and vet vendors, review RFP & contract terms, and build/maintain/follow-up with vendor relations.
- Develop, Monitor, and Control centralized contracting and procurement as appropriate.
- Identify opportunities for cost savings (vendor relationships, light replacement, energy/utility savings, water savings, etc.).
- Prepare and administer departmental and program budgets. Assume ownership of key planning, budgeting, and forecasting processes within areas of responsibility. Monitor financial performance through key indicators and succeed at achieving maximum results with budgeted resources.
- Demonstrated success in a director-level role in property management or related industry.
- 5+ years’ management experience leading a large team across multiple sites.
- Multi-family apartment experience preferred.
- Must excel in interpersonal interactions in a manner that is culturally responsive, ensuring consideration for differing needs and expectations of residents, staff, vendors, community members, etc.
- Proficient with Microsoft Office and comfortable with different technological platforms (ie. Microsoft Project, SharePoint, Yardi Voyager, etc.).
- Ability to understand business objectives, strategies and directions and ability to develop and implement action plans accordingly.
- Effective at project management, implementation and follow through.
- Ability to influence and collaborate internally and externally at all organizational levels.
- Ability to individualize training and communication approaches to meet the needs and learning styles of a diverse staff.
- Must have outstanding work ethic, be highly motivated, customer service-oriented and a self-starter.
- Great interpersonal and problem-solving skills and can bridge technical and business stakeholders.
- Ability to work on a variety of tasks simultaneously and consistently meet deadlines.

- Valid drivers’ license, reliable vehicle and vehicle insurance required
- Physical Requirements:
- Ability to stand, walk, reach, climb, bend and kneel for extended periods of time.
- Ability to complete regular tours between properties including but not limited to inspecting grounds, common areas, hallways, stairwell and apartment homes.
- Ability to lift up to 30 pounds frequently and 50 pounds occasionally.
- Ability to reach above and below the shoulders.
- Ability to use hands and fingers to grasp, twist and pull.
- Ability to withstand external weather conditions such as working outside in the rain, cold, heat or other adverse weather.
- Ability to quickly respond to sights and sounds that may pose a threat to persons or property.
