The Head of Human Resources Information Systems (HRIS) and Human Resources Shared Services (HRSS) is responsible for implementing and maintaining the HRIS software for the company that manages data related to employees globally, including recruitment, onboarding, compensation, benefits, and performance management. The role combines the responsibilities of both an HR manager and an IT specialist, helping to manage HR data and ensuring that employees are able to access and update their personal information using the system. In addition, the role is responsible to analyse HR data to identify trends and develop strategies for improving HR processes.

In addition to ensuring that the HRIS system is functioning properly, the Head of HRIS and HRSS also provides thought leadership, coaching, mentoring and guidance to the function and key stakeholders on building a world class HR Shared Services function. This shall include the development of efficient and effective HR business processes that meet the needs of the business, with focus on employee-centric service.

  • Supervising the day-to-day activities of our HR information systems
  • Supporting CHRO on structural policy and procedure matters related to the HRIS
  • Maintaining data integrity in systems by regularly analysing employee data
  • Ensuring data security and confidentiality of employee information
  • Ensuring all HR-related systems are compliant with GDPR and other data protection regulations
  • Overseeing all system upgrades and system additions in partnership with the Information Technology (IT) department, performing regular assessments and improvements to the HRIS and ensuring data accuracy and system integration
  • Designing user-friendly processes, guidelines, and documentation
  • Generating reports and analyses, and providing data-driven insights to HR leaders
  • Developing and maintaining relationships with HRIS vendors, consultants, and service providers
  • Providing user training and support for HRIS functionality

  • Providing thought leadership, coaching, mentoring and guidance to the function and key stakeholders on building a world class HR Shared Services (HRSS) function
  • Supporting the HRSS team to perform transactions related to HR specialties with a high degree of accuracy and strict adherence to written procedures, such as benefit updates or employee assignment changes
  • Maintaining comprehensive knowledge of benefit programs, plans, policies, and processes
  • Agreeing service levels and performance indicators that track the effectiveness of the HRSS function
  • Planning and prioritizing workload to ensure key HR business processes have the resource to provide the agreed service levels
  • Developing efficient and effective HR business processes that meet the needs of the business
  • Providing high quality, consistent HR guidance, support and resolution to managers and employees with focus on employee-centric service
  • Identifying customer-impacting issues and implementing solutions and process improvements to increase customer satisfaction
  • Supporting Division Heads of HR in landing key strategic people goals
Other tasks
  • Leading and participating in cross-functional process improvement initiatives
  • Review, execute and audit HR transactions relating to worker life cycle or employment job changes (e.g., hires, terminations, mobility transfers)
  • Being actively involved with the centralization of payroll systems
  • Helping to define requirements for systems that will facilitate increased efficiencies, automation and/or self-service for various HR processes
  • Contributing to the creation of education strategies through proactive communication and engagement with all levels of the organization to ensure increased understanding of systems tools, processes and availability of resources
Competencies and Qualifications
  • Bachelor’s degree in related field and/or extensive HR or related field experience
  • CIPD qualified with evidence of continued professional development
  • Additional diploma in Computer Science is a plus
  • Project Management Professional (PMP) Certification will be advantageous.
Knowledge and Skills Required
  • Successful practical work experience as an HRIS Manager or similar role
  • Understanding of data protection regulations like GDPR
  • Hands-on experience with HR database administration
  • Familiarity with payroll systems and ATS
  • Knowledge of/experience with HR practices
  • Judgment, initiative, and tenacity demonstrated in an environment of rapid change
  • Business Partnered a Global Shared Services set up/ transition (leading the people and change management agenda)
  • Strong customer service/relation skills
  • Demonstrated enthusiasm for service

  • Organisational skills – personal efficiency, time management skills and the ability to prioritise competing demands are key
  • Communication skills – leadership of the HR team, managing diverse personalities and viewpoints, emotional intelligence, the ability to build relationships and collaborate with others is vital. Effective verbal and written communication skills accompanied with cultural sensitivity
  • Commercial acumen – ability to understand company finances, resourcing and the ultimate aims of the business is important
  • Role modelling – to demonstrate and lead on the values, initiatives and culture of the organisation
  • Professional expertise – A strong working knowledge of employment law issues, employee relations, best practice processes for disciplinaries, redundancies and payroll
  • Coaching and mentoring – Whether senior executives, junior colleagues or middle management, proficient in developing skills in your talent
