As the Managing Director: You will be legally responsible for the legal business entity, ensuring compliance with the submission of all required statutory filings and regulations. You will be responsible for the business’s compliance with all applicable laws and regulations and overseeing and maintaining good corporate governance practices within the company. You will represent the legal entity at all board meetings and will be responsible for reporting on the company’s performance, strategy, and financial results to the board.

As General Manager of Shared Services, your primary responsibility is to oversee and manage the administrative functions of the organization, including the Human Resources, IT and Finance departments. You will play a critical role in ensuring efficient operations, effective communication, and smooth coordination among various departments and teams within the company. Your focus will be on enhancing productivity, streamlining processes, improving controls, and fostering a positive work environment. This position requires strong leadership skills, strategic thinking, and a deep understanding of administrative operations in an engineering and manufacturing context.

Administrative Operations Management:

  • Develop and implement administrative policies, procedures, and systems to support the overall business objectives.
  • Implementing Nikkiso policies and processes to meet the needs of the local entity.
  • Oversee daily administrative activities, including office management, facilities maintenance, inventory management, procurement processes, Human Resources, and Information Technology.
  • Ensure compliance with relevant laws, regulations, and industry standards.
  • Streamline administrative processes to improve efficiency and productivity.
  • Lead the Legal review meetings and Business review meetings.

Team Management and Leadership:

  • Lead and inspire a diverse team of employees, fostering a culture of collaboration, accountability, and professional growth. Foster a positive and inclusive work environment, promoting teamwork and collaboration.
  • Lead and supervise administrative staff, providing guidance, support, and performance feedback.
  • Set clear expectations, goals, and objectives for the administrative team and ensure they are aligned with the company’s strategic priorities.
  • Conduct regular performance evaluations and provide professional development opportunities to enhance skills and capabilities.

Communication and Coordination:

  • Collaborate with department heads and senior management to understand their administrative needs and provide effective solutions.
  • Facilitate cross-functional communication and coordination to ensure smooth workflow and timely completion of projects.
  • Serve as a liaison between the shared services team and other departments, fostering effective communication and information sharing.

Budgeting, Reporting and Resource Management:

  • Consolidate organizations and divisional budgets, ensuring optimal allocation of resources.
  • Monitor financial performance, analyse financial statements, and make data-driven decisions to maximize profitability and control costs.
  • Serve as a financial service centre to the operations teams, ensuring that the outputs of the Administration team aid and empower the operations teams.
  • Prepare financial and operational reporting and analysis on a divisional, product line and consolidated levels.
  • Prepare and manage actual / forecast / budget reporting for departments, product lines and consolidated levels.
  • Evaluate vendors and negotiate contracts to secure cost-effective services and supplies.

Risk Management and Compliance:

  • Identify potential risks and develop strategies to mitigate them, ensuring business continuity.
  • Maintain up-to-date knowledge of relevant laws, regulations, and industry best practices to ensure compliance.
  • Establish and enforce security protocols and data protection measures to safeguard sensitive information.
  • Identify fraud and potential areas for fraud within the business and develop and implement mitigation measures to address any fraud or potential fraud.
  • Ensure a robust reporting system exists that ensures that management is aware of any incidents of fraud or potential fraud.
  • The Managing Director will be the legal representative for the company in India.

Continuous Improvement and Innovation:

  • Proactively identify opportunities for process improvements and innovation in shared services operations.
  • Stay abreast of industry trends and emerging technologies to drive operational efficiency and effectiveness.
  • Lead or participate in cross-functional initiatives and projects aimed at enhancing overall business performance.
  • Develop tools that enable the operations and finance teams to get timeous, relevant and powerful insights into the key metrics and control points of the business.

Essential:

  • A bachelor’s or master’s degree in business administration, finance, or a related field.
  • A well-rounded international business leader.
  • Experience in a Manufacturing and engineering environment.
  • Minimum of 10 years’ experience in senior management in a similar business or industry.
  • Strong leadership and people management skills, with the ability to motivate and inspire a diverse team.
  • Excellent organizational and problem-solving abilities, with a keen eye for detail.
  • Proven track record in process optimization, change management, and driving operational excellence.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively across departments and levels of the organization.
  • Sound financial acumen and experience in budgeting and resource management.
  • Ability to adapt to a fast-paced and dynamic business environment.
