GJP seeks a full-time experienced Operations Director to work closely with the Executive Director and the Leadership Team to ensure the organization’s infrastructure, buildings, and shared services run smoothly and efficiently. This position will supervise a team of 4-5 shared services staff and oversee the administrative and operational functions of the organization: finance/accounting, human resources, facilities management, and IT. The preferred candidate should possess substantial proficiency in a minimum of 2 out of the 3 operational functions listed, ensuring adequate support for GJP’s recent growth.

  • Finance/Accounting (40%)

· Plan, organize and monitor GJP’s general accounting, fiscal record keeping, reporting and budget development.

· Provide oversight of contributions, accounts payable and receivable, and revenue/expenses, balance sheets and profit/loss statements.

· Oversee payroll processing.

· Provide Executive Director and GJP’s Board of Directors with financial reports and analysis detailing available funds and provide income and expense projections against approved budgets.

· Provide data and resources to leadership to help make informed decisions during the budget preparation process.

· Coordinate with outside services to complete audit and 990 submissions.

· Participate in bi-monthly Board of Director’s meeting.

· Act as liaison and representative for bank and loan proceedings.

· Supervise part-time bookkeeper and comptroller.

  • Human Resources (30%)

· Oversee GJP’s human resource’s function, programs, and procedures for all employees.

· Responsible for maintaining and updating Employee Handbook, HR Policies, and Procedures.

· Work with Leadership team to oversee recruitment and onboarding of new employees.

· Oversee all employee benefits including vacation, health insurance, and retirement.

· Conduct audits of payroll, benefits and other HR programs – recommend actions or changes.

· Assist Program Managers with onboarding fellows, interns, and volunteers.

· Coordinate implementation of staff training and retreats.

· Oversight of periodic tax filings for contractors and employees.

· Oversight and guidance of performance evaluation process.

· Supervise Office Administrator.

  • Operations Management/IT: (30%)

· Responsible for managing vendors that ensure the safety, security and efficient operation of physical space, office infrastructure, and business systems.

· Serve as project lead/manager for operations projects.

· Oversight of office administrative and housekeeping needs. Manages office equipment procurement.

· Oversight of calendar management for shared office resources: vehicles, conference rooms, parking lots.

· Develop and disseminate emergency operation/contingency/redundancy plans for physical safety and technology security.

· Serve as contact for building contracts (pest control, cleaning, repairs, security, office equipment), neighborhood/business associations, City of Atlanta officials, and other entities as needed.

· Act as point of contact for Project Manager of capital campaign project.

· Ensure proper filing of corporate documents with relevant state and federal agencies. Maintains in-house records of documents.

· Oversight of contract IT staff and management of purchases for new hard and software needs.

· Maintain tech asset inventory and control system.

Beyond that, the candidate is highly motivated, a self-starter, and a team player with energy, positivity, and flexibility.

  • Bachelor’s degree required. Masters in Nonprofit Management, HR, Finance, or another related field preferred.
  • 2-4 years’ experience in nonprofit senior manager level position.
  • Experience managing staff and overseeing Human Resources.
  • Knowledge of relevant laws and regulations related to nonprofit operations.
  • Strong written and verbal communications skills.
  • Knowledge of Microsoft Office (Word, Excel, PowerPoint) and QuickBooks.
  • Familiarity with Salesforce database a plus.
  • Experience with non-profit accounting, including government grant management, highly preferred.
  • Experience working with hybrid work schedules.
  • Excellent leadership skills for collaborative teamwork and effective cross-departmental cooperation.
