The Senior Manager of Pediatric Operations will be responsible for managing PriMED’s pediatric practices, including office managers and shared service resources.
- Management of all pediatric locations and on-site support staff.
- Responsible for managing shared services team inclusive of contact center, medical records, outpatient scheduling, care management, triage, clinical floats, vaccines, and after-hours vendor relationship.
- Acts as main point of contact and HR liaison for all pediatric provider issues.
- Hire, develop and retain qualified support staff. Ensure that new employees are oriented to the medical group, their respective office or functional area and are well trained for their jobs.
- Give timely and constructive feedback on performance, documenting all corrective counseling. Prepare and conduct fair and objective performance appraisals according to PriMED policies.
- Responsible for oversight and optimization of PRN provider schedules.
- Manage all administrative tasks associated with Pediatric Behavioral Health specialist.
- Facilitation of Pediatric Division meeting; responsible for preparation of agenda, slides, and minutes in collaboration with administrative leadership and Pediatric Division Chair.
- Lead Pediatric Care Team meeting to communicate & execute on divisional strategic initiatives.
- Lead projects in support of divisional priorities. May be required to write charters, develop project plans, facilitate project meetings in collaboration with project sponsor and supporting team.
- Organize office and shared services workload and workflows and establish standards to ensure efficiency and productivity in collaboration with administrative leadership.
- Provide site coverage as needed, which includes but not is limited to coverage for extended leaves of absence, gaps in staffing, or as other operational needs warrant.
- Present at Administrative and Physician Leadership meetings.
- Collaborate with Human Resources in the preparation and distribution of policies, handling of employee relations matters and other people management tasks.
- Perform other duties as required by Executive Leadership.
Skills and Other Required Competencies:
- Will be required to know and understand office processes, both administratively and clinically.
- Experience with EHR/EMR and associated healthcare technology systems.
- Competent with Microsoft Office (Word, Excel, Power Point, etc.)
- Must have the ability to manage and handle a variety of projects, tasks, processes at the same time and prioritize (multi-tasking).
- Must be professional and act with exemplary behavior.
- Represents PriMED at all times and conducts oneself ethically and morally.
- Promotes and sets a good customer service example.
- Should have excellent communication skill sets, both written and orally. Comfortable presenting in front of senior level leadership.
- Meeting facilitation and presentation skills.
- Project management experience a plus.
- Must have the ability to problem solve and a proven track record for successful outcomes.
- Organization skills.
- Team Building and working well with various teams.
Education, Experience, and Qualifications:
- BS, BSN, BA or other related college degree.
- At least 5 years of medical office management experience (Family Practice and/or Pediatrics).
- At least 2 years of leadership experience (managing or assistant management of groups).
- Clinical experience strongly preferred
